Based in Montreal, KlezKanada is a leading institution in the world of Yiddish culture and Jewish music. In addition to numerous concerts, workshops, and other events throughout the year in Montreal and online, KlezKanada’s flagship program is the annual Summer Retreat at a Laurentian mountain camp in the Lanaudière region, an immersive residential retreat for students, artists, families, and more, attended by a diverse array of people from all over the world. KlezKanada has also expanded its programming to meet the digital moment, creating events of the highest calibre with global reach rooted in community feeling and cultural richness.

KlezKanada is seeking a motivated arts and culture professional to join our small team to assist with the organization’s day-to-day administration and to help make our programs run smoothly behind the scenes and to act as site and vendor liaison. As part of a small and highly collaborative team, the ideal candidate will aid in building a rapidly growing cultural organization and contribute to a dynamic and diverse artistic community. The successful candidate will be fluently bilingual in English and French.

Core Duties

Administration & Logistics

  • Daily database management, including data entry and spreadsheet maintenance
  • Manage and organize financial documentation, including invoices and bank statements; sort, scan, and integrate documentation within existing tracking systems
  • Consistently maintain quality of information management, improving, implementing, and/or creating systems for remote work, document organization, and record-keeping
  • Process program registrations and maintain participant profiles
  • Provide customer service and assistance throughout the registration process, both online as well as through other communications channels
  • Assist with preparing reports and other documents for Board meetings and other events
  • Process donations and create charitable tax receipts
  • Research grant opportunities and contribute to the compilation and writing of applications, funding proposals and reports
  • Research new technologies, and other opportunities to improve the efficiency and effectiveness of day-to-day operations
  • Correspond and develop connections with donors, community members, partner organizations, vendors, artists, and others
  • Organize internal and external meetings as required, including note taking and circulation

Event Planning and Management

  • Help craft and curate KlezKanada’s artistic programs at its Summer Retreat and other cultural and educational activities throughout the year
  • Liaise with vendors, venues, organizational partners, and artists for events, concerts, workshops, and other programs
  • Help build digital event platforms and ticketing systems using websites and technologies such as Zoom, Vimeo, EventBrite, InitLive, and others
  • Coordinate volunteers and other logistics for events

Site and Vendor Management - Summer Retreat

  • Act as liaison between KlezKanada and the venue in the lead up and during the Summer Retreat, ensuring open and professional communication and prompt problem solving for both venue staff and KlezKanada staff
  • Act as primary point person for Retreat participants on site-specific matters, including accommodation, and meals.
  • Act as liaison between the technical logistics team, programming team, and venue
  • Act as liaison between the caterer and venue, and between the caterer and participants
  • Oversee and support Volunteer Coordinator in lead up to Retreat and onsite
  • Correspond and develop connections with vendors for all rentals and purchases
  • Participate in debrief meetings with venue and the KlezKanada leadership team after the Summer Retreat

Communications

  • Working with the KlezKanada leadership team, develop and execute communications plans including social media, press releases, newsletters, and website updates

Other Tasks

  • Respond to incoming calls, emails, and other communications
  • Other duties as appropriate

Qualifications:

The ideal candidate for this position will have:

  • Excellent organizational skills with the ability to multitask and a keen attention to detail
  • The ability to work well autonomously, as well as part of a small team
  • Excellent interpersonal and communications skills to work with and interact with KlezKanada’s very diverse community of attendees, artists, supporters, vendors, volunteers, and others
  • A strong sense of initiative with the ability to follow through and complete projects without direct supervision
  • Strong computer skills, especially with Google’s G-Suite office applications
  • Strong skills and some experience on various communications platforms and channels (social media, web, etc..) 
  • Advanced proficiency in French and English (written and spoken) is essential; knowledge of other languages (e.g. Yiddish, Russian) is an asset, but not required
  • Creativity, a sense of humour, and a spirit of resourcefulness & adventure
  • A love for arts and music and an interest in Jewish culture and the Yiddish language

Ideally, the successful candidate will have a driver’s license and access to a car, but this is not an absolute requirement

Remote Working

This position will be a hybrid working position, and the person in this position will be expected to work part of the time from our offices in downtown Montreal. The person in this role will be expected to attend most programs during the year, whether online or in-person. Attendance at the Summer Retreat, whether online or in-person, is required.

Salary & Benefits

This is a part-time permanent position with an expectation of 4 days or 32 hours on average per week. Additional hours required leading up to and during our summer programs and less during other periods of the year. Salary will be in the range of $24,000-$28,000 CAD.
